HSES Business Assistant

Overview
FutureFuel Chemical Company is seeking a Business Assistant for our HSES Department.
About The Position
Utilizing the principles of self-management, a FutureFuel Business Assistant completes secretarial, administrative, and special project assignments for department management or a staff group.  Arranges appointments, schedules meetings, secures travel reservations, processes mail, answers telephones, maintains confidential records, updates charts, orders supplies and uniforms, assists with travel reimbursement forms, updates procedures, enters purchase requisitions, keeps time in ADP, and prepares and types correspondence.  Performs other clerical, administrative and project assignments as requested.  Successful completion of job assignments requires the ability to effectively utilize initiative and discretion.  This position may be assigned to the whole of the HSES Department.  
Key Responsibilities
  • Utilizes a personal computer with a variety of software packages to complete word processing, graphical (i.e. charts) and data handling assignments.
  • Maintains a working knowledge of software packages such as, but not limited to, Microsoft Office (Access, Excel, PowerPoint, Word).
  • Prepares, reviews, and maintains a variety of reports, records, and correspondence associated with the area of assignment.
  • Applies the rules and guidelines of grammar, spelling, punctuation, and format to ensure quality results.
  • Proofreads assignments and ensures completion. Makes revisions and corrections as necessary.
  • Takes notes, as required by assignment, and transcribes material in the prescribed format.
  • Performs a variety of calculations which may require the use of office calculators or personal computers.
  • Performs a variety of administrative duties including, but not limited to, answering correspondence, scheduling meetings, answering telephones, making copies, filing, and sorting and distributing mail.
  • Performs special project work upon request. Special projects may include assignments outside of normal area of responsibility and involve both company and non company personnel.
  • Successful completion of special projects requires the ability to transform general concepts and directions into a result ready for review and approval.
  • Communicates effectively in order to perform essential functions of the job.
  • Participates on Quality Management Process teams or special committees.
  • Performs timekeeping functions as directed.
  • Performs a variety of support duties including but not limited to making travel arrangements, completing expense statements, coordinating celebrations and reinforcements.
Required Qualifications
  • High school diploma or GED
  • Exceptional written and verbal communication skills
  • Strong in customer service and face-to-face interactions
  • Strong computer skills including Word, SharePoint, PowerPoint, and Excel
  • Willingness to take on multiple tasks and take directions from various areas
  • Strong in initiative and follow through
  • Strong in maintaining confidential information
  • Must possess or have the ability to learn ADP and SAP functions
  • Ability to work independently and manage multiple projects
  • A proven track record of reliability.
Preferred Qualifications
  • This is a Safety Sensitive Position.
  • Prefer that applicants have a Certificate of Proficiency or an Associate’s degree in Office Administration, Business Support, or related field of expertise. On the job experience will be strongly considered as well.
